Your mission      

We are looking for a proactive, hands-on and detail-oriented Front Office Associate with excellent interpersonal skills. In this role, you will be responsible for all services provided at Bitpanda's front desk at our Vienna HQ. As someone who enjoys delivering outstanding hospitality and making people feel at home, you will join our passionate Workplace Team as the first point of contact for our customers, business partners, suppliers, employees and all visitors.   

What you’ll do

• Manage our Front Desk, acting as a friendly and service-oriented point of contact for Pandas, business partners, suppliers, customers, and all visitors.
• Provide knowledgeable and helpful information to all inquiries—whether in person, via email, or through internal communication channels (no switchboard services).
• Organize internal and external meetings and workshops.
• Handle various workplace-related administrative and organizational tasks (e.g., processing courier and mailing services, ordering office supplies, handling employee requests, and coordinating onboarding and offboarding tasks).
• Support your manager with key projects, ensuring a 5-star employee experience.

Who you are

• Background in Office Management, Reception, or Facility Management, with at least 2 years of work experience in a similar role.
• Excellent German skills and highly eloquent in English, with a friendly, respectful, well-mannered, and service-oriented tone.
• Highly organized and structured, maintaining a calm overview even during busy or high-pressure periods.
• A true people person with a passion for exceptional service, as well as a positive, energetic, and solution-oriented approach to work.
• Tech-savvy, especially with tools like Google Sheets, Slides, and Docs.
• Excellent interpersonal and communication skills, both in person and via written channels (email, internal comms, etc.).
