The Role
Gradial is hiring an Executive Assistant to support our C-Suite Executives in a fast-moving, high-growth environment. You will own the scheduling, travel, coordination and follow-through that keeps our C-Suite Executives focused on the highest-impact priorities across the business.
This role is about more than keeping calendars organized. You will create structure across competing priorities, anticipate needs and ensure important work continues moving without unnecessary friction. The right person will bring strong judgment, exceptional attention to detail and a proactive approach to supporting multiple executives with different priorities and working styles.
What You’ll Own
- Manage calendars across our C-Suite Executives, balancing competing requests and protecting time for the work that matters most
- Coordinate complex domestic and international travel, including itineraries, accommodations and last-minute changes
- Prepare executives for key meetings by organizing agendas, materials, context and logistics in advance
- Drive follow-through from meetings by tracking commitments, surfacing outstanding items and ensuring next steps have clear owners
- Serve as a trusted point of coordination across internal teams and external stakeholders, keeping communication clear and requests moving
- Anticipate upcoming needs, scheduling conflicts and operational gaps before they become blockers
- Support leadership meetings, offsites, customer engagements and team events from planning through execution
- Build simple, reliable systems for recurring executive workflows, documentation and information management
- Identify opportunities to reduce administrative overhead through better processes and lightweight automation
What We Need
- 4+ years of experience in executive support, executive operations or a similar role in a high-velocity environment
- Proven experience supporting multiple senior executives with complex calendars, shifting priorities and a high volume of moving pieces
- Strong judgment and prioritization skills with the ability to make thoughtful tradeoffs when competing needs arise
- Experience coordinating complex travel, external meetings and executive logistics with a high level of accuracy
- Comfort managing calendar and inbox workflows across multiple executives while maintaining clear organization
- Ability to anticipate needs, identify potential conflicts and solve problems before they become blockers
- Clear communication and strong follow-through, with a track record of closing loops and flagging issues early
- High level of discretion, ownership and reliability when working with sensitive information and executive priorities
- Ability to operate independently in ambiguous situations and adapt quickly as priorities change
- Comfort working in a Microsoft-first environment, including Outlook, Teams and related productivity tools
- Strong attention to detail and a practical mindset for improving systems and simplifying execution
- Ability to work onsite five days per week from Gradial’s Seattle, WA office
Nice to Have
- Experience supporting executives across operations, marketing, sales or other go-to-market functions
- Experience coordinating executive team meetings, offsites or other cross-functional leadership activities
- Familiarity with AI and automation tools that improve speed, organization and reliability
Compensation
The salary range for this position is $115,000 - $135,000 annually. Final compensation will be determined based on factors such as experience, skills, and qualifications.
